Administrative Assistant/ Direct Service Billing Specialist

Summary: The Administrative Assistant/ Direct Service Billing Specialist works closely with the Administrator while providing support to employees, and office visitors by handling a variety of tasks in order to ensure all interactions between the organization and others are positive and productive. Reports directly to Administrator. Serves as the billing professional for the Health Department. The Direct Service Billing Specialist's areas of responsibility include entering all billing and payment data in to Aprima

Normal Work Hours: 8:00 am. – 4:00 pm. Monday- Friday, with evening hours typically four times per year for Board of Health meetings. Schedule is flexible.

Necessities: Keep the identity and health information of all clients confidential at all times. Maintain valid driver's license, registration, and vehicle insurance and be able to drive his/her vehicle for any work assignments. Follow Department of Children and Family Services (DCFS) mandated reporting requirements. Pass a fingerprint and background check. Understand and speak fluent English. Have above basic computer skills including Microsoft Word, Excel, PowerPoint, with ability to work all other internal software programs.

Physical Demands of the Job: • Must be able to work at a computer station for prolonged periods of time.

Essential Job Functions (Duties and Responsibilities):

Serve as back up clerical support and front desk receptionist as needed.

  • Financial data entry, verify/ reconcile finances.
  • Maintains and ensures all storage rooms are organized, including mandated record retention and document destruction processes.
  • Attends, records and provides minutes for all meetings as necessary.
  • Makes arrangements for meetings including catering, invites, and setting up space.
  • Gathers, sorts, and distributes incoming mail.
  • Routinely checks office safety equipment including first aid kits, smoke detectors, and fire extinguishers.
  • Performs entries for all services into the Aprima billing software and EDI Solutions clearing house whether from roster or individual route slip.
  • Reconciles insurance remittances & posts payments in Aprima and EDI Solutions.
  • Works with Aprima and EDI Solutions on software maintenance including programming, maintenance, and updates as determined by software provider.
  • Updates new services and pricing as needed in Aprima.
  • Researches and remains current of Medicare, Medicaid and private insurance billing policies and procedures and clarifies any billing issues accordingly.
  • Researches and remains current on all billing codes (internal and CPT) and modifiers.
  • Prepares accounts receivable report for Director of Finance at the end of each month or upon request.
  • Prepares monthly data reports for Director of Maternal Child Health and Public Health Nurse Supervisor.
  • Updates/assists with insurance contracting.
  • Communicates effectively with clerical and nursing staff to ensure proper handling of paperwork through the billing revenue cycle.
  • Enters all department invoices and payments into Quickbooks.
  • Performs all other duties as assigned.

Education and Experience Requirements: An Associate Degree from an accredited secretarial school or in word processing, or a High School diploma or its equivalent, and two years of secretarial experience or Administrative Assistant experience preferred.

An Associate Degree from an accredited school in computer billing, or a High School diploma or its equivalent, and two years of medical billing experience.


Medical Office Technology with Certification in Medical Billing & Coding- preferred.


Performs all other duties as assigned.
